Policies and Procedures

Subject: History and Preservation Committee
Date:  June 2023

This committee was constituted in the 1990s to provide focus on the history of MCMA and its members, our historical artifacts, and our records.  In those general areas, the following efforts have taken place and/or are currently ongoing:

History

•   Research and document MCMA involvement in local history, such as the Bunker Hill Monument, the Franklin Statue, and  USS Constitution.

•   Research and document the accomplishments, whether local or nation-wide, of past members.

•   Identify and document, for future members, the accomplishments of present members.

•   Identify and document, for future members, the current activities of MCMA, particularly our charitable giving.

•   All of the above are currently being documented and shared with members via our Charitably Speaking newsletter.

Artifacts

•   Accumulate and consolidate information on our historical artifacts, to include photographs, detailed descriptions, relevance to MCMA, and how they came into MCMA’s possession.

•   Display artifacts, to the extent possible, in our office or at Quarterly meetings so members can see and appreciate them.

•   Update loan agreements for those artifacts on loan to museums or other institutions, and consolidate such information.

•   Periodically check that items on loan are satisfactorily displayed, and take measures to address the situation if necessary.

•   Explore whether artifacts currently located in our office might be candidates to be moved to a museum or other location where they can be displayed for the public.

Records

•        Ensure that records, insofar as possible, are stored in multiple locations to minimize loss in the event of fire or other damage to our office.

•        Digitize select records, primarily Annals and Exhibitions, in a searchable format to facilitate research.

•        Re-bind Annals books and other select records as necessary.

•        Utilize the MCMA website both to store digital records and to make them available to members.
